Privacy Policy
MJCIT (ABN 96 716 605 609) ("MJCIT", "we", "our", or "us") operates the MJC Job Manager platform and the website at mjcjobmanager.com (the "Website"). This Privacy Policy explains how we collect, use, disclose, and protect information in connection with the Website and the MJC Job Manager software (the "Software").
We are committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. The critical distinction: your data stays with you
MJC Job Manager is a single-tenant, self-hosted software platform. When you install the Software on your own infrastructure:
- We do not host, store, access, or process your business data.
- Your customer records, job details, financial information, documents, and all other operational data reside exclusively on servers you control.
- We have no technical ability to access your installation unless you explicitly grant us access for support purposes.
If you use our managed hosting service (where we operate the infrastructure on your behalf), we act as a data processor. Your data remains yours — we do not mine it, sell it, or use it for any purpose other than providing the service to you. A separate Data Processing Addendum is available for managed hosting customers.
2. What we collect via the Website
When you interact with our Website, we may collect:
2.1 Information you provide voluntarily
- Demo requests and contact forms: Name, email address, phone number, company name, and any details you include in your message.
- Email communications: When you email us at support@mjcit.com.au or any other MJCIT address, we collect your email address and the content of your correspondence.
- Onboarding forms: Information required to set up your installation or managed hosting environment.
2.2 Information collected automatically
- Usage data: Pages visited, time on site, referring URLs, browser type, operating system, and device information — collected via standard server logs.
- Cookies and similar technologies: See Section 6 (Cookies) below.
3. What we collect via the companion app
The MJC Job Manager Companion App (Android) connects directly to your self-hosted server. We do not operate an intermediary server that collects or relays your data. The app communicates exclusively with the server you configure. Any data generated within the app (job updates, time entries, GPS locations, documents) is transmitted directly to your server and is subject to your own data handling practices.
The companion app may use device permissions (location, storage, notifications) to provide its features. These permissions serve the app's functionality and are not used to collect data for MJCIT.
4. How we use information
We use the limited information we collect for the following purposes:
- To respond to your enquiries, demo requests, and support requests.
- To provide, maintain, and improve the Software and our services.
- To send service-related communications (billing, updates, security notices).
- To comply with legal obligations and enforce our agreements.
- To analyse Website usage to improve our content and user experience.
We do not use your data for automated decision-making or profiling.
5. How we share information
We do not sell, rent, or trade personal information. We may share information only in these limited circumstances:
- Service providers: With third-party vendors who assist us in operating the Website and our business (e.g., hosting providers, email services). These providers are contractually bound to protect your data and use it only as instructed.
- Legal obligations: If required by law, court order, or governmental authority.
- Business transfers: In connection with a merger, acquisition, or sale of assets — subject to continued protection of your data.
- With your consent: In any other circumstance, only with your explicit permission.
6. Cookies
Our Website uses minimal cookies:
- Essential cookie: A localStorage entry (
mjc_theme_preference) that remembers your dark/light mode preference. This is a functional cookie — no personal data is stored. - Third-party cookies: We use Google Fonts, which may set cookies. You can block these via your browser settings.
We do not use tracking cookies, advertising cookies, or analytics cookies. There are no third-party advertising networks on our Website.
7. Data security
We take reasonable technical and organisational measures to protect the limited information we hold:
- All Website traffic is served over HTTPS.
- Access to our internal systems is restricted and authenticated.
- We do not store sensitive information (passwords, payment details) on our Website infrastructure. Payment processing is handled off-site.
For the Software itself: security of your installation is your responsibility when self-hosted. For managed hosting, security measures are specified in your service agreement.
8. Data retention
We retain personal information only for as long as necessary to fulfil the purposes described in this policy:
- Enquiry and contact form data: up to 2 years after your last interaction.
- Account and billing records: as required by Australian tax and corporate law (generally 5-7 years).
- Server logs: rotated within 30 days.
9. International data transfers
Our Website is hosted in Australia. If you access the Website from outside Australia, your information may be transferred to and processed in Australia. By using the Website, you consent to this transfer. We ensure that any cross-border data transfers comply with applicable data protection laws.
10. Your rights
Under the Privacy Act 1988 (Cth), you have the right to:
- Request access to the personal information we hold about you.
- Request correction of inaccurate or out-of-date information.
- Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe we have breached the APPs.
If you are located in the European Economic Area (EEA) or the United Kingdom, you may have additional rights under the GDPR/UK GDPR, including the right to erasure, restriction of processing, and data portability. To exercise any of these rights, contact us at the details below.
11. Children's privacy
Our Website and Software are not directed at individuals under 18 years of age. We do not knowingly collect personal information from children.
12. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email (for active customers) or via a notice on the Website. The "Last updated" date at the top of this page reflects the most recent revision.
